I’ve made some frowny faces about this today. 😦 Because I hate to hear that someone has had this kind of experience with a service provider in my field. And it’s one of my personal pet peeves (and maybe the biggest). Client (or perspective client) contacts an operations consultant or VA… …and they hear nothing back. Yes, this can go the other way too (VA hears crickets from a client or perspective client). And yes, I 150% know that life happens sometimes and things slip through the cracks or an email gets lost in the ether. I’ve got no stones to throw; I’ve missed things myself. AND — if you’re choosing to run a business providing a service, then set yourself up to provide the best service you can. And if you’re finding that things are slipping through the cracks or getting pushed more and more? Then something needs to change. Work on your business rather than in it! As a Business Coach and Mentor this is the best advice I can give you. If you can design and build your business to run without you then you are in such a great position. You can then focus your efforts on growth and looking forward rather than being caught up the day to day workings of the business. I’ve recently been diagnosed with a brain tumour and I’ll be having surgery and taking some time off whist my team run the business. Yes I’ve done some preparation but the real work has been done over the last 5 years growing my business so that I am not needed on a daily basis. Now my business is by no means totally passive and I do work hard but this model means that I can step out of my business for treatment and then return to a fully functioning business model. Everybody has different talents and you can't have all of them, you must share. When you're looking for a new team member, and when you're thinking about how to work best with them, I just want you to keep this in mind, because it applies to you the same way it applies to your clients. Just because you've done something a certain way all this time doesn't make it the best way. Just because you're used to the way you do it, or you've got the experience you've had, doesn't make it the only way to do something. It's definitely untrue to say that you are the only person that can do that thing. Unless it is something that literally needs your face on video, your voice on audio, which even now with AI is questionable, it doesn't have to be you. So if you're struggling to hand things over to another team member and find yourself thinking of saying "but only I can do it", I ask you to review this and change your mindset because I'm willing to bet that it is not only you who can do it. Last week we talked about when to hire a VA (hint: when you’ve got biz clarity + it makes $ sense).  This week, we’re looking at the question that often comes next: “What kind of VA/help do I need?” Finding the right VA can feel like a puzzle. 🧩 “VA” spans everything from admin support to tech help and more, each with different skills and rates. So, what can you do to find the right hire for your business? Rather than starting with titles or hourly rates, begin with getting clear on what you’re looking for help with. Do you have specific tasks that have an already defined process, and you could clearly articulate how to do them and then hand off (e.g., taking your newsletter copy and setting it up in your email marketing tool; scheduling two social media posts each week using specific graphics, captions, and hashtags; researching business-related podcasts to pitch; calendaring a monthly client meeting with specific attendees)? Or perhaps you’re here: “I know there are things, but the to-do list is in my head, so I’m not quite sure where to start to hand them off or how…” (and floating around in your head is a client onboarding process that needs to be refined, a course to set up, and various other projects). I love the fact that Steven Bartlett clearly didn’t fit in or conform at school and he’s gone on to build amazing businesses. Chillpreneur - I do love a Denise Duffield Thomas book and listening to her on Audible is even better. Early on in my business I would go out for walks with my headphones on needing some inspiration and it was like she was in my head answering my questions when I needed her. Greenlights - Not necessarily a business book but it is a life book which I feel relates to business. The book is about how to catch more yes’s in a world of no’s and how to recognise when a no might actually be a yes. The yellows and reds eventually turn green. This message has been showing up in my world ALL OVER: ➡️ What got you here won’t get you there. If you stop and think for a moment, I’ll bet you can remember the sorts of things you did to get to $25K in your business...and that they weren’t exactly the same things that got you to $50K. And if you’ve hit $100K (or $500K)? Ditto — you needed to change some things up again to get there. So it’s probably not going to be a shocker to hear that if you want to get to multi-6 figures or 7 figures, you’re going to need to do EVEN MORE different things. And in “different things” I mean less of the “doing” — think time consuming admin work, putting out fires, etc. Because if that is where your time is spent? You’re not going to get to your next revenue goal...because the things that need to be done to get there WON’T be getting done. Because you won’t have the time and/or brain space. The biggest reason that OBMs will over deliver is because of insecurity. Deep down at the roots, generally, that's what I find. We're worried that what we've done is not enough, so we do some more. Thinking that if we add more things and add more things and we do more, we'll get a better response. I've been there. I've done that, and do you know what I found? The response that you get by doing more isn't any better. Clients will always want more. They're clients, they're running a business, they need things done, that's why they got you. But, using doing more as our way to balance out the level to which we do something, the quality to which we deliver or how we explain what we're going to do and how we're going to do it, it doesn't work. How do we stop being insecure? We look at the other people who've been where we are, who are telling us, even if you do more, it's not going to get you the result that you want. Sometimes people ask me why this business is called Skip the Box (and I’d bet more folks than not wonder because it’s not an obvious name, which we could have a whole conversation about why that’s good/bad for business, though we can all save our breath because I like the name and thus that’s that 🤷🤣). Anyway… My business is called Skip the Box because I’ve learned (the hard way, as I’d guess many of us have) that living in a “box” bites the big one. Like more than a lot. Living in the “everyone else has it together in their business (or life), what’s my problem?” box is like getting repeatedly slapped in the face with a dead fish. With your mouth open so you can reallyyy taste it. Living in the “shoulds” and “this is the one/right way to do things” box kills your soul by a death of a thousand paper cuts. Living in the “I must do all of the things if I want my business to be successful” box is like running a marathon…over Legos…holding a 20 lb kettlebell…in full sun…and then starting over as soon as you cross the finish line. And as I want none of the above for myself, I am not going to force someone who is looking for support into a box of “THIS is the right tool” or “your business should look like THIS” — because there are an infinite number of ways that your business could work. J.R.R. Tolkien took 12 years to write The Lord of the Rings.  J.K. Rowling spent six years writing Harry Potter and the Sorcerer’s Stone. Gillian Flynn’s Gone Girl was written in three years. Mary Shelley’s Frankenstein? A year. A Clockwork Orange by Anthony Burgess? Three weeks. The Boy in the Striped Pajamas, written by John Boyne? Only two and a half days.  (My own self-publishing endeavor? It took about six months.) And, of course, some people never finish (or publish) their books. Naturally, there are a ridiculously wild range of opinions on how long it *should* take you to write a book.  The truth is…it takes you as long as it takes you. 🤷‍♀️ If you want to write your book, keep going. As 2024 quickly approaches, this note is for those biz owners pondering a tool/tech/backend upgrade this coming year. Maybe you’re looking to up-level your clients’ onboarding experience (and quit flying by the seat of your pants!). Or perhaps you want to nix the 87 separate places your team communicates about projects so it’s easier for everyone to see and follow what’s going on (and you to have visibility into progress!). Or you want to try out XYZ tool that that business coach or super successful entrepreneur you follow raves about… In any case, you’re thinking about upgrading your tech stack with a new tool (or three). And they all DO seem to offer amazing functionality that could change the way your business works and save you 17 hours every week!!!! When one of my clients (or me, myself, and I, let’s be real) gets the itch to implement a new tool, we consider these five things: 1️⃣ Define your why: Clearly articulate the problem you're solving and why it's a must. Avoid the allure of shiny objects! 2️⃣ Assess your current tools: Explore intermediate solutions within your existing stack before diving into a new one. Gradual improvements can pave the way. 3️⃣ Non-negotiables matter: Identify crucial functionalities or integrations you can't compromise on. Know what's essential before committing. 4️⃣ Test before you invest: Leverage free plans or trials. Dip your toes in to ensure the tool aligns with your needs before making a significant commitment. 5️⃣ Budget wisely: Factor in both initial setup and ongoing costs. Investing time and money strategically ensures your new tool enhances, not burdens, your business. Yes, new tools can be awesome…and doing a bit of homework upfront can help you choose the right implementation time and tool for your business. I’ve gotten a lot of AI-related emails lately. Apparently now is the time (or really it was yesterday, but since we can’t go back in time, I’ll just have to be okay being late to the party) to 20x my productivity — and AI can help me do that overnight. Last week I saw a series of free “learn how to use AI better” trainings from someone who I think actually gives good advice — and thought about signing up. But then I didn’t. It wasn’t because I think AI is going to doom us all. Or that I’m already a pro at ChatGPT and don’t need to learn more. Instead, it was because my brain is currently full… As I navigate the chaos of Color Guard fittings and teenage sleepovers, I've realized it's okay to hit pause. 🛑💆‍♀️ My brain needs a rest rather than trying to cram in more. I’m learning that being in a season of rest doesn't mean missing out — no FOMO here. 🚫 Heading into the final month of 2023, if your brain's shouting "no more," listen. It's okay to decline, take a breather, or simply switch gears. 🔄 You won't miss the boat or fall behind. A cautionary tale for you today… A past client recently reached out and asked if I could review the backend setup for their upcoming online event funnel (opt-in page → upsell pages → tagging and automations → confirmation and reminder emails → speaker promo center + everything in between) and make sure things were correctly connected before they started promoting the event (which they were waaaaay behind on doing). They hired a VA to set up their online event funnel, but things quickly turned into a horror show. With the event just two weeks away, they were in panic mode! 🧟‍♂️ Mistakes galore: 🔴 Incorrect start times 🕰️ 🔴 Mismatched Zoom links 🙈 🔴 Upsell pages leading to the wrong products 💔 🔴 Broken automations 🤖 🔴 Sloppily edited content 📝 So my team and I got to work, and two days later, things were fixed, tested, and ready to go. Last week my team and I helped a client run a 20+ speaker virtual summit. Large projects like that remind me of this MISSION CRITICAL thing: Testing is your friend. I don’t care where you’re at in business (just starting to $1 million+) — test your automation before going live, send a test email to review before hitting send, test that payment link you’re putting on your website…always, always, always test first!!! Will it take a bit of extra time? Yes. Will it be worth it? YES. So many last minute “crap, it’s not working!” emergencies and poor client experiences can be avoided by testing first to see if there is anything that has been missed and needs to be fixed.  No, testing may not catch EVERYTHING (in big projects, there are always unexpected things that come up out of left field)…but it will help you catch the majority of the big stuff so you put out a much more solid end-user experience — and have the brain space and time to better handle the unexpected left field curveballs.
